Rental Policies

These policies provide a general summary of Handy Car Rental’s rental requirements and procedures. Every rental is governed by the final Rental Agreement signed at pickup. If this page conflicts with the signed Rental Agreement, the signed Rental Agreement controls.

Rates, taxes, optional products, vehicle availability, and other charges are subject to confirmation before the vehicle is released.

1. Reservations and Payment

Online reservations are completed on a pay-at-pickup basis.

  • No rental payment or security deposit is collected through the website.
  • The renter must pay all required rental charges and provide the applicable security deposit at the Handy Car Rental office before the vehicle is released.
  • The physical payment card must be presented at pickup.
  • The cardholder must be present with valid government-issued photo identification.
  • The payment-card name must match the renter or an approved authorized driver.
  • Cash and cash cards are not accepted.
  • Major credit and debit cards are accepted subject to verification and approval.

Submitting an online reservation does not complete the rental. The reservation remains subject to vehicle availability, identity verification, payment approval, eligibility requirements, and execution of the Rental Agreement.

2. Driver and Identification Requirements

The minimum rental age is:

  • 21 years old for standard rental vehicles.
  • 25 years old for 8-passenger through 15-passenger vans.

Every renter and additional driver must:

  • Hold a valid driver’s license acceptable to Handy Car Rental.
  • Present the original physical driver’s license at pickup.
  • Satisfy all age and identity requirements.
  • Be approved by Handy Car Rental.
  • Be listed as an authorized driver on the Rental Agreement before operating the vehicle.

International driver’s licenses may require a valid passport and additional documentation. International renters should contact Handy Car Rental before pickup to confirm requirements.

Only the renter and drivers specifically listed and approved on the Rental Agreement may operate the rental vehicle.

3. Security Deposits

The standard security deposit is:

  • $200 when paying by credit card.
  • $500 when paying by debit card.

The security deposit is separate from the rental charge.

The security deposit:

  • Cannot be used as payment for rent or an extension while the rental remains open.
  • Does not replace the renter’s obligation to pay additional rental charges, mileage, fuel, cleaning, damage, towing, recovery, or other amounts when due.
  • Remains subject to final vehicle return, inspection, account reconciliation, and rental closeout.
  • Will be released or refunded after final settlement, less any amounts properly charged or authorized under the Rental Agreement.

The renter’s bank or card issuer controls how quickly a released authorization or refund appears in the renter’s account. Handy Car Rental cannot control bank processing times.

A higher deposit or additional documentation may be required in limited circumstances when disclosed before the rental is completed.

4. Rental Period and Return Time

A rental day consists of each consecutive 24-hour period beginning at the pickup date and time stated in the Rental Agreement.

The vehicle must be returned:

  • On the date and at the time stated in the Rental Agreement.
  • To the location authorized by Handy Car Rental.
  • With the required fuel level.
  • In substantially the same condition in which it was released, except for ordinary wear.
  • With all keys, equipment, documents, and accessories provided at pickup.

A late return may result in additional hourly, daily, mileage, recovery, or other charges under the Rental Agreement.

The renter should not assume that a grace period applies unless it is specifically stated in the signed Rental Agreement.

5. Rental Extensions

An extension is not automatic.

To extend a rental, the renter must:

  1. Contact Handy Car Rental before the scheduled return time.
  2. Obtain approval for the requested extension.
  3. Pay all extension charges and any other amount due.
  4. Receive written or electronically recorded confirmation of the new return date and time.

Leaving a message, sending a request, or continuing to possess the vehicle does not constitute an approved extension.

An extension may be denied because of another reservation, payment failure, overdue charges, vehicle-service requirements, insurance limitations, or other operational reasons.

The vehicle remains overdue until the extension is approved and paid.

6. Mileage Allowance

Unless a different allowance is clearly stated in the Rental Agreement, the rental includes:

  • 200 miles per rental day.

Mileage is determined using the vehicle’s recorded outgoing and incoming odometer readings.

Mileage exceeding the included allowance is charged at:

  • $0.40 per excess mile.

The signed Rental Agreement controls if it expressly provides a different mileage allowance or rate for a particular rental.

Tampering with, disconnecting, or altering an odometer or mileage-recording device is prohibited.

7. Fuel Policy

The vehicle must be returned with at least the same fuel level recorded during the outgoing vehicle inspection.

When the vehicle is returned below the required fuel level, Handy Car Rental may charge:

  • $4.00 per gallon for the estimated fuel shortage.

The outgoing and incoming inspection records will be used to determine the applicable fuel level.

The renter must use the fuel grade required by the vehicle manufacturer. Costs resulting from incorrect fuel, contamination, or failure to follow the vehicle’s fuel requirements are the renter’s responsibility.

8. Vehicle Condition and Inspections

Handy Car Rental performs an outgoing inspection before the vehicle is released and an incoming inspection when the vehicle is returned.

The inspection may document:

  • Odometer reading.
  • Fuel level.
  • Exterior condition.
  • Interior condition.
  • Existing damage.
  • New damage.
  • Photographs.
  • Customer and agent acknowledgments.

The renter should review the outgoing inspection before accepting the vehicle and immediately report any omitted damage or condition issue.

The renter is responsible for returning the vehicle and all provided equipment in the condition required by the Rental Agreement.

9. Cleaning Charges

Normal cleaning associated with ordinary rental use is included.

An excessive-cleaning charge may apply when additional labor or treatment is required because of excessive dirt, sand, mud, stains, spills, food, trash, odors, pet hair, bodily fluids, or similar conditions.

The standard excessive-cleaning charge is:

  • $65 for a Sedan or SUV.
  • $85 for a Passenger Van.

These standard charges do not limit the renter’s responsibility for extraordinary remediation, smoke treatment, biohazard cleanup, upholstery repair, permanent stains, burns, missing equipment, or physical damage. Those costs may be charged separately based on the actual work required.

10. Smoking and Vaping

Smoking and vaping are prohibited in every Handy Car Rental vehicle.

This prohibition includes:

  • Cigarettes.
  • Cigars.
  • Pipes.
  • Marijuana or cannabis products.
  • Electronic cigarettes.
  • Vape devices.
  • Any other smoked or vaporized substance.

The renter may be charged for deodorizing, ozone treatment, detailing, cleaning, repair, loss of vehicle use, and other remediation required because of smoking or vaping.

11. Pets

Pets are not permitted unless Handy Car Rental provides prior written approval.

Approved service animals are handled in accordance with applicable law.

The renter remains responsible for:

  • Pet hair.
  • Odors.
  • Stains.
  • Scratches.
  • Interior or exterior damage.
  • Excessive cleaning or remediation.

Transporting an unauthorized pet is a violation of the Rental Agreement.

12. Travel Outside Colorado

The rental vehicle must remain within Colorado unless Handy Car Rental provides prior written approval for travel outside the state.

Approval must be obtained and recorded before the vehicle leaves Colorado.

Approval may include limitations concerning:

  • Permitted states or destinations.
  • Maximum travel distance.
  • Rental duration.
  • Mileage.
  • Roadside assistance.
  • Insurance or protection coverage.
  • Vehicle type.
  • Additional deposit or payment requirements.

The vehicle may not be driven into another country under any circumstances unless Handy Car Rental gives express written authorization.

Unauthorized out-of-state or international travel is a violation of the Rental Agreement and may affect optional protection products, roadside assistance, liability allocation, and the renter’s responsibility for recovery expenses.

13. Prohibited Vehicle Uses

The vehicle may not be used:

  • By an unauthorized driver.
  • While the driver is under the influence of alcohol, marijuana, illegal drugs, or any substance that impairs driving.
  • For racing, speed testing, driver training, or competitive events.
  • To tow or push another vehicle, trailer, or object without written authorization.
  • On unpaved, off-road, or unsafe roads unless expressly approved.
  • To transport hazardous materials or illegal substances.
  • In connection with a crime or unlawful activity.
  • To carry passengers or property for compensation, rideshare, taxi, delivery, or commercial service unless expressly approved.
  • In a reckless, abusive, negligent, or intentionally damaging manner.
  • Beyond the vehicle’s passenger, cargo, or towing capacity.
  • By anyone who provided false or misleading rental information.

The renter must comply with all traffic laws, parking requirements, toll rules, and vehicle-use restrictions.

14. Additional Drivers

Every additional driver must be approved and listed on the Rental Agreement before driving.

Additional-driver charges, when applicable, will be disclosed before the Rental Agreement is signed.

The renter remains responsible for the conduct of every authorized driver and for ensuring that no unauthorized person operates the vehicle.

15. Insurance and Optional Protection Products

Handy Car Rental may offer optional protection products, including loss-damage waivers and liability-related protection.

Availability, price, limits, exclusions, deductibles, and eligibility requirements may vary by vehicle and rental. The applicable terms will be disclosed during checkout and documented in the Rental Agreement.

Optional products are subject to their written terms and do not cover every circumstance. Coverage or waiver protection may be invalidated by prohibited use, unauthorized drivers, false information, intoxication, reckless driving, unauthorized travel, failure to report an incident, or other violations of the Rental Agreement.

Renters relying on personal automobile insurance or credit-card benefits should confirm their coverage directly with the applicable insurer or card issuer. Handy Car Rental does not determine whether a renter’s personal policy or card benefit provides coverage.

16. Accidents, Damage, Theft, and Breakdowns

The renter must notify Handy Car Rental immediately following:

  • An accident.
  • Vehicle damage.
  • Theft or attempted theft.
  • Vandalism.
  • Warning lights or mechanical problems.
  • A flat tire.
  • Lost or damaged keys.
  • Impoundment.
  • Any event affecting safe vehicle operation.

In an accident, the renter should:

  1. Stop in a safe location.
  2. Contact emergency services or law enforcement when appropriate.
  3. Obtain information from all involved drivers and witnesses.
  4. Take photographs when it is safe to do so.
  5. Avoid admitting fault or agreeing to private payment arrangements.
  6. Contact Handy Car Rental immediately.
  7. Complete all required incident reports.

The renter must not authorize repairs, towing, parts, or other services without Handy Car Rental’s approval except when necessary to address an immediate emergency.

17. GPS, Vehicle Location, and Recovery Technology

Rental vehicles may contain GPS, telematics, theft-recovery, or starter-interruption technology.

These systems may be used for purposes permitted by the Rental Agreement and applicable law, including:

  • Vehicle location.
  • Theft recovery.
  • Fleet safety.
  • Maintenance.
  • Mileage and vehicle-status information.
  • Locating an overdue vehicle.
  • Enforcing return and recovery obligations.

Tampering with, disconnecting, blocking, damaging, or removing this equipment is prohibited and may result in additional charges.

18. Overdue Vehicles and Safe Restart Prevention

When a rental becomes overdue or an approved extension has not been paid, Handy Car Rental may attempt to contact the renter using the contact information provided.

After reasonable contact attempts and manager authorization, restart-prevention technology may be activated approximately 3 to 5 hours after the contractual due time, subject to safety and operational review.

Restart prevention will be used only when the vehicle is:

  • Stationary.
  • Turned off.
  • In a location reasonably believed to be safe.

Handy Car Rental will not intentionally disable or stop a vehicle while it is moving.

The renter may be responsible for amounts arising from an overdue or improperly retained vehicle, including:

  • Additional rental charges.
  • Excess mileage.
  • Towing.
  • Recovery.
  • Storage.
  • Locksmith or key replacement.
  • Administrative expenses.
  • Damage.
  • Loss of use.
  • Other costs authorized by the Rental Agreement or applicable law.

19. Optional Equipment

Child seats, booster seats, GPS units, and other optional equipment may be available by advance request.

Optional equipment:

  • Is subject to availability.
  • Must be used according to manufacturer instructions and applicable law.
  • Must be returned in the same condition in which it was provided, except for ordinary wear.
  • May be subject to separate daily charges disclosed before the rental is completed.

The renter is responsible for cleaning, damage, loss, or replacement of optional equipment.

Handy Car Rental does not install child-restraint equipment or determine whether a particular restraint is suitable for a child. The renter is responsible for proper selection and installation.

20. Cancellations and No-Shows

Customers should contact Handy Car Rental as soon as possible to cancel or modify a reservation.

Any cancellation or no-show charge will apply only when the charge and applicable deadline were disclosed during the reservation process, in the reservation confirmation, or in another agreement accepted by the customer.

Changing the pickup date, return date, vehicle, or rental duration may change the quoted rate and does not guarantee continued vehicle availability.

21. Airport Pickup and Drop-Off

Complimentary pickup and drop-off service to and from Colorado Springs Airport may be available by prior arrangement and during applicable service hours.

Upon arrival, proceed to the designated ground-transportation or shuttle area and contact Handy Car Rental for instructions.

Airport transportation is subject to:

  • Advance reservation.
  • Vehicle and driver availability.
  • Operating hours.
  • Weather and traffic conditions.
  • Passenger and luggage capacity.

22. Charges, Tickets, Tolls, and Other Expenses

The renter is responsible for charges associated with the rental or vehicle use, including:

  • Rental and extension charges.
  • Applicable taxes.
  • Excess mileage.
  • Fuel.
  • Cleaning.
  • Damage or loss.
  • Towing and recovery.
  • Parking citations.
  • Traffic violations.
  • Tolls.
  • Impound or storage charges.
  • Lost keys or equipment.
  • Administrative charges authorized by the Rental Agreement.

Charges discovered after return may be processed using the payment authorization contained in the Rental Agreement, subject to applicable law.

23. Rental Agreement Controls

This website page is a general policy summary and is not the complete Rental Agreement.

The signed Rental Agreement, inspection records, selected options, payment records, extension approvals, and other rental documents contain the final terms applicable to each rental.

Handy Car Rental may update these website policies prospectively. Changes do not modify an already signed Rental Agreement unless the parties agree in writing.
